How To Keep Your Scanner In Good Working Condition

High-quality scanners are expensive pieces of office equipment. If your office has invested in a high-quality scanner, you want to make sure that you are taking all proper steps to take care of the scanner.

Clean the Outside of the Scanner

First, you are going to want to clean the outside of the scanner. If you clean the scanner on a weekly or bi-weekly basis, you should be able to get away with just using a damp microfiber cloth to clean the scanner.

When you clean the outside of the scanner, make sure that you wipe down the paper chute or feeder, as well as the stacker where the paper is placed. Wipe all external components that you can see on the scanner. Be careful and make sure that you don't get any moisture inside of the scanner.

Clean the Inside of the Scanner

To clean the inside of the scanner, there is a special cleaning paper that you can use. You spray a special formula ion the cleaning paper, and then you put the cleaning paper into the paper chute.

There are also directions that you should input into your scanner before and after you put the cleaner paper inside of the machine. Refer to the manual to learn exactly how to put a piece of cleaner paper through your scanner. Always follow the directions from your computer.

Replace Used Parts

After so many uses, you are going to need to replace a few parts. The brakes and pick rollers are two parts that will need to be replaced. They should be replaced after you scan a specific number of sheets. Your machine will keep track of how many pieces of paper it has scanned overall, and your manufacturer should let you know after how many sheets you should replace the brakes and pick rollers on the scanner.

Be Mindful of Location

Finally, be mindful of where your scanner is located. Try to find a location for your scanner where it is not exposed to excessive dust and dirt. Make sure that your scanner is located on a countertop where it is not near the floor where it will be exposed to more dirt. Make sure that you regularly dust and vacuum around the area where your scanner is located. Keeping the area where your scanner is located clean will help keep your scanner clean as well.
